​All groups that are interested in volunteering for the upcoming 2025/26 Season need to complete the registration form below. Each summer, we reach out to ALL groups (both existing and new ones)  to complete a new form for the upcoming season. 

​If you are a "new" group, just because you complete a form, does not guarantee your group will get spots or be able to work every festival.  Our Volunteer Manager, who will contact you after you submit a registration form.

End of Year Reception at the Smithfield Center. Two reps from each Vol Group, Benefit Orgs, SuperStars and Individual who work at least (2) events this season get invited. 
We highly recommend you scroll down and read ALL the questions on the form below before you start to fill it out and make sure you know all the info requested.  If the form will not let you submit it, you likely left out answering a required questions, so go back and check.  

Also, within a few days of submitting it, you will get an email reply with a copy of your form for your records. Be on the lookout for it, and let Cristin know if you don't receive one in a few days

    FORM Register Volunteer Group -  2025/26 Season:  

    After a festival, your group will get a donation check that needs to promptly be deposited by your organization. For Bacon & Bob you will need to either pick check up or we can mail it.  For Wine Fest, we will have all checks at the May 6, 2026 Reception. If you don't pick up at reception, we will mail it or you can come pick it up at our office later. 
    An "official mailing address" would be owned by your organization, for example, your org has an official physical location and you get your organization's mail there, or your organization has it's own PO Box.  It isn't just a member's  personal home address. 
    If mailing fill in the address below.  If using a members personal home address put their name in the  ATTEN BOX, or you can leave it blank if going to your org's "official" address. We have to be so very specific in asking, because if mailing to someone's home or personal PO Box, if we don't have the person's name on it, it gets returned undeliverable. 
    ORG TAX-ID Number - If you are a returning group, we may have it on file but if you know it,  please type it in below.  If you are a new group registering, and don't know your tax-id number, go ahead and submit this form, but you will need to find out what it is and send it later.  
    A GROUP LEADER is the main point of contact our Volunteer Manager will work with to coordinate your group's volunteer & sign-up information. Group Leaders pass along info to org's members and reviews your orgs sign-ups to ensure that they can physically perform the job they signed up for.

    At a festival there are a lot of different types of jobs to fill. Almost all of them are the day of the festival and are outside. Most are under a tent and require standing to do the job. Some require walking, have a physical requirement for lifting supplies like cases of water/wine or a skill like driving golf cart. We have some (but not very many) jobs that are "sitting".  

    We work with 50-60 groups every festival, and will try to give your group the type of jobs that you request.  However, some of the spots you get assigned may not be specifically what you requested, as they all have to get filled and trying to juggle all of that between 50-60 organizations every festival is a huge task. Please be understanding and fill the slots you are assigned.  We also reserve the right at a festival to re-assign a volunteer to a different job to cover a "hot-spot" or fill a critical spot that someone didn't show up for. 

    Volunteers need to be 21 & UP to work during a fest. Volunteers are not permitted to consume alcohol/marijuana or any type of substance before or during their shift. After shift is over, volunteers must sign-out and leave the festival unless they have purchased a ticket to the event before it has sold out. Once a volunteer has signed out, they can go eat at our Volunteer Food tent. Volunteers who work an All-Day shift do get a quick break to go eat at Volunteer Food during the day. 

    You can review some basic job descriptions on the Volunteer Page on our website to get an idea of the types of jobs we have. Use the text boxes below to tell us a little bit about what type of jobs or days that your group would prefer to work. If you are good with anything, please type in "Good with Anything". 
    If you have members that have physical limitations (can't stand for a 4-hr shift) about how many shifts would need to be more of a "sitting" type job? Type in NONE if you don't have any. 
    Most of the shifts are on the day of the festival, but there are a few the 2-3 days before or after the festival.
    Some of our jobs require volunteers to be in good physical shape. Heavy lifters  & logistic jobs move  things like cases of water, bags of ice, cases of wine or bourbon, pulling trash bags, coolers or chairs/tables. 
    We have a special group of volunteers called SuperStars. They wear the teal "Event Staff" shirts and supervise or play a leadership role for a specific booth or job at a festival.  Some of their jobs are just on Saturday, and others like Logistic SuperStars work multiple days helping with set-up & clean-up and hanging signs.  We are looking to bring on about 15 NEW SUPERSTARS this year to break-up the work load and to learn the jobs.

    SuperStars can belong to a volunteer group or they can be individuals as well.  They track their hours on the SuperStar clipboard, but they still get to pick an 
    organization for their donation to go to.  Their donation rate is $2 more an hour than volunteer groups, as they have additional responsibilities and play a leadership role.

    They can work one, two or all three festivals as a SuperStar, but we would be looking for them to commit to a few years of being one.  

    For each fest you want to participate in, fill in below the number of "ALL DAY" (6-8 hr shifts) or SINGLE (about 4 hours each) that you want to request for your group. If you don't want to sign up for all-day shifts or a festival type in NONE in the spaces below. 

    This is NOT a guarantee of the number of spots you will be assigned. Also note that if you do not fill your assigned spots by the deadline, you will lose them to a group that wants more spots. If you fill all your spots and want more, please email Cristin and let her know.

    When finished, CLICK SUBMIT button below, it will take you to a confirmation page. If it doesn't take to you to the confirmation page, then you didn't answer a required question so go back and see what you missed filling in. 

    You will also get a copy of your form emailed to you within a few days for your records. ​
