We take enhanced health and safety measures for you, our volunteers, performers, and staff. We will follow any state mandates that are in place at the time of a festival/event. An inherent risk of exposure to COVID-19 (or any other illness) exists in any public space where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. By attending any of our festivals or events, you voluntarily assume all risks related to exposure to COVID-19, variant strains of it or any other illness/virus that may exist. refund & cancellation policy
Rain or Shine we hold festivals. A little uncomfortable weather is not cause for a cancellation. Individual Tickets are non-refundable. All Sales Final. Smithfield VA Events is not required or committed to giving you a refund. See below for refund specifics. We are a small non-profit that donates proceeds from the festivals back to the community. There are costs, risks and upfront money spent months and months before an event. We strive to put on great festivals and we value our attendees, but sometimes things happen that we cannot control. We do carry (very expensive) catastrophic cancelation insurance for “normal risks”, hurricanes, tornadoes, fire, or other things that create a public safety issue. It does not however cover viruses, “uncomfortable weather”, or perhaps other out of the ordinary risks like global pandemics or alien invasions or something else we can't even imagine. In the event of a cancellation that is covered by our policy: We should have the ability (once we receive the insurance check which can take up to 120 days) to refund ALL types of tickets, tables and sponsorships in full. However please note that based on the actual claim process with the insurance company, if there are unusual or unexpected non-mitigable expenses that are not covered general admission tickets purchased on-line may only receive a partial refund. All other types will be refunded in full. If we have to cancel for a reason NOT COVERED by the policy: Regular General Admission tickets purchased on-line or any other way are non-refundable and become a donation to our organization. Early Bird Tickets are refundable up to the price of the General Admission Ticket and the part you are not-refunded is a donation. Non-Sponsor Tables are non-refundable and are a donation. Sponsor Tables & Chalets are refundable in full, but any extra tickets purchased are not and become a donation. BOTTOM LINE - IF YOU ARE NOT COMFORTABLE WITH YOUR TICKET COST BECOMING A FULL DONATION FOR CHARITABLE PURPOSES, THEN PLEASE DO NOT PURCHASE TICKETS. Hints & troubleshoot paypal
INSTRUCTIONS ON PURCHASE: We use PayPal to process on our on-line orders. You do not have to have a PayPal account, there is an option to pay with a credit card/debit card also. Sometime folks who click over from facebook have weird problems, so try typing the website into your internet browser, instead of clicking thru facebook. Your purchase is not confirmed until you complete the entire payment process. Just because you put it in your cart does not mean you "have" the tickets.
At release times it can get a little crazy as there are hundreds and hundreds of folks trying to get a limited number of tix or non-sponsor tables. It can sell out very fast (like in a minute, seriously) sometimes, especially BOB Fest. So if it "jams" up on you or "spins out" it is because it sold out. Again, until you complete the entire payment process your order is not complete. Just because you put it in your cart does not mean you "have" them. after purchase what happens?
AFTER YOUR PURCHASE: You will get a confirmation email from PayPal after you complete your purchase. If you don't see it, check your junk mail. If you don't get one within a hour, notify us by email at TICKETS@SmithfieldVAEvents.com and put "DID NOT RECEIVE CONFIRMATION" in the subject line. GENERAL RULES:
All Events are 21 & Up Only. No infants, children or pets permitted. Please bring proper ID to the gate. DIRECTIONS: Site address is 705 Cedar Street, Smithfield VA. DO NOT USE "Old Jericho Road" off of South Church Street. It will be closed the day of the event. It is an old historic brick super skinny road. Please use CEDAR STREET to get to the site. SVAE reserves the right to control space of open seating at events, in order to accommodate all patrons and to provide safe access through the festival grounds. PETS/ANIMALS: Only legit service animals, like a seeing-eye dog are permitted. Emotional support animals, purse size animals, or anything else alive that isn't human is not permitted. INFANTS/CHILDREN: No children, including infants are permitted at our events. There are no children's activities or areas for them. No exceptions. Reserved tables & private party areas (chalets or BOB Areas) will be limited to the furniture provided by the event. No additional personal chairs or tables are permitted. Once you enter event, tickets are non-transferable. You are welcome to sell your ticket to someone else if you can't attend, but the festival does not get involved in attendee-to-attendee tix sales. BE CAREFUL AS THERE ARE SOME SCAMMERS OUT THERE! No animals, except hearing /dog animals and service/dog animals or animals utilized in law enforcement, are permitted in the festival site. Cash/Credit Card accepted. ATM is also on site. Skates, skateboards and bicycles are not permitted in the park. For the safety of all, the Smithfield Police/Security may screen persons entering/exiting the park. SVAE reserves the right to postpone, cancel and/or evacuate events due to adverse weather conditions. If the event has started, refunds will not be able to be given. SVAE/Smithfield Police also may escort any unruly, or disruptive attendees off site, including folks that may be deemed to be "over-served". We want you to have fun, but it is your responsibility to behave in an appropriate manner. NOTICE: These regulations do not alter or change State or Town laws in any manner and you are subject to all applicable State or Town laws. PARKING & FREE SHUTTLES & UBER/LYFT
PARKING AT EVENT: All of our parking is on grass fields. There is designated VIP, Handicapped and General Admission Parking. In the event of rainy weather, we do offer free towing services. Come to the event via CEDAR STREET from the downtown Smithfield area. OVERNIGHT PARKING & RV's: As part of our Stay Safe Program, if you have had too much to drink and take our shuttle or decide to call UBER/LYFT or have a friend pick you up, you can leave your vehicle overnight in our parking areas. Please come on Sunday and pick it up. It will not be towed, but the fest and the Town of Smithfield are not responsible for anything that happens to it. While we are happy to let you leave your car, overnight RV or Camping is not permitted. PRE EVENT SHUTTLE SERVICE: Pre-event shuttles are available for hotel guests at the Hampton Inn & Smithfield Inn. Smithfield Station guest can walk over the pedestrian bridge to the event. If you are a Smithfield Station guest and you have a special need to be picked up, please let the hotel front desk know and the shuttle can be dispatched to pick you up. POST EVENT SHUTTLE TRANSPORTATION: We have free shuttle service that provides safe rides after the event to local major subdivision & various other location in the Smithfield/Carrollton area. It does not provide front door service - just to a drop off point in your neighborhood. It will also make trips to all local hotels. Shuttle is free. Please go to the SHUTTLE STOP after the event if you want a ride. It is located near the white2-story house across from the gate area. Shuttles start running at 10:30 AM and are available until about 6:00 PM after the event. UBER/LYFT: Although you probably can get a UBER/LYFT to our event fairly easy from other locations in Coastal VA, it is recommended that you schedule a ride home. This past year it has gotten better but planning ahead is always a good idea. Typically both services are available in Smithfield but not usually with immediate response time. OTHER IMPORTANT STUFF:
We want you to have a great time at our events, but please remember that we do them to raise funds for many charitable organizations. It takes hundreds of volunteers to run our events. Please be kind and patient with them. We do expect them to treat all fest attendees with first-class service but they also have to follow event rules. Some only work one area of the event, and may not be able to answer other questions. If you need anything, and one of our front-line volunteers can't help you, please find someone with a radio and they can assist you. BE SAFE - HAVE A POST FEST TRANSPORTATION PLAN. |
FAQ's FOR ALL FESTIVALS
HASHTAGS: Please use our hashtags when posting on social media. #svaevents #smithfieldvaevents #smithfieldvawinebrew #smithfieldvabacon #smithfieldvabourbon #smithfieldvabob CHAIRS: For Wine Brew & Bacon Bourbon you can bring in stadium chairs, blankets or tarps for sitting in open areas. No chairs can be brought into BOB Fest's tents. Unless you purchase a seated table, BOB is a standing only event. UMBRELLA/POP UP TENTS: You may bring hand-held umbrellas (for rain or for sun!) but we do not permit large "beach umbrellas" or pop-up tents. They aren't safe if they blow over and hit other fest attendees! Remember that awful story about the one at the beach that impaled a lady?? So, no... FOOD/WATER: Wine Fest is the only event that general admission tickets are permitted to bring in your own picnic baskets with snack, water or soda. All other events guest may not bring in food, water bottles or snacks. Different food rules apply for Chalets, Private Areas Premium/Sponsor tables, please see the special rules that come with your booking. ALCOHOL: For all guests, including sponsors, other than unopened bottles of wine purchased at Wine/Brew Fest, no alcohol of any type can be brought into or exit the festival. All growlers, cups, glasses, etc. must be consumed on site, or be emptied at one of our check-points when you leave the event. This applies to coolers that chalet owners bring into the fest also! GROWLERS: We only honor and fill our SVAE Event logoed growlers. Once you own one, you can bring it empty to any event and use it. If you need one, they are on sale at all events at the drink ticket booth. BAG CHECKS: The fest has the right to search purses, bags, coolers, baskets, etc. We also search coolers & supplies brought in for the Private Chalets. Again, no alcohol can be brought into the festival, it is against ABC regulations. If we find any, it will go to good use - we will throw a great party for our Board and Volunteers! UNDERAGED DD'S: Will need to drop you off and pick you up outside gates. There is a "DROP OFF ALLEY" they can pull over in and let you out when you arrive at the event. They are not permitted to enter the festival to come "find you". When they come to pick you up, they will need to come down CEDAR STREET, and park in the General Admission lot and meet you there. DD TICKETS: BOB Fest does not offer a DD tix (the ticket does not including drinks or tastings). The other two events, do have a $25 DD Ticket. They are on sale the day of the event at the Will Call Booth. Cash only. Still must be 21 & Up. If you are caught drinking at the event, you will be asked to leave and escorted from the site by a ringing cowbell. HAVE A POST FEST TRANSPORTATION PLAN: We encourage everyone to make sure they have a safe way home. See additional info on event Safe Ride Shuttles on this page. GOLF CART RIDES FROM PARKING: We do run golf carts all day to and from all parking areas to the gates. Please be kind to our drivers, they are volunteers. Also cart riders need to be properly seated and not just "hanging on". Your safety matters! If you have some in your group that needs transportation inside the festival to get to your group's spot, please let the gate know and they will get an escort ride. DRINK TICKETS: Are non-refundable and are only good for the event you purchased them for. SMOKING: Smoking under any of the tents at any event is prohibited. Smoking sections are near all the restroom areas and "smoker posts" are available for cig butts. Look for the Smoking Area signs. BAD WEATHER PLANS: A little bad or unpleasant weather is not cause for us to cancel the event. Only a significant public safety weather event (hurricane, snow/ice storm) would cause us to make the decision to cancel. If the weather is looking sketchy, please check out our social media pages or website for info. We also usually put everyone into an database and send out emails as well, so check your email if we get in this situation (and maybe check your junk email...) EVACUATIONS/MEDICAL EMERGENCIES & SUCH: Sometimes bad weather can unexpectedly develop. We stay in touch with weather services and our county emergency management during an event. We have an evacuation plan with trained folks. We have fire, rescue and police on site during an event. Depending on the situation, we may need to end the event early, or we might just have to postpone it for a little while. Please calmly listen to our evacuation team if this should happen during an event. Please be aware that depending on the situation, you may or may not be exited out the same way you came in, nor may you be with all of the folks in your group if you were in different areas of the event at the time of evacuation. Please make sure everyone knows where your meeting spot is (back at your car, at your hotel room....) in the event you get separated. POLICE, FIRE AND RESCUE SQUADS are on site during an event. If you have or notice someone else having a medical emergency, please find an EVENT STAFF person with a radio and have them call it in. Most event booths, gates, golf cart drivers have radios. POLITICAL CAMPAIGNING & COMMERCIAL VENDING We do not permit general political campaigning, nor have commercial info vending booths at our events. Elected officials or those running for office are more than willing to attend our events with a paid ticket, but hard-core campaigning is not permitted. (For example, yard signs, passing out flyers, stickers, etc). We do not permit p We do have some retail vending spots for hand-crafted unique items, but do not have commercial vendor spaces. Business that purchase a chalets may use them to advertise their businesses, products and are welcome to invite fest attendees into their chalets and give them items. However, all of that activity must take place inside of your chalet, you may not walk the grounds and pass out anything. |
